The Pennsylvania Turnpike uses all-electronic tolling — vehicles pay through E-ZPass or Toll By Plate, which photographs the plate and mails an invoice to the registered owner. As of this writing, the PA Turnpike states an invoice arrives approximately 40 days after travel, so a fleet can't rely on recent-trip memory to place it correctly — that gap is wide enough for the relevant reservation to no longer be top of mind.

Preserve historical reservation data

Store exact pickup and return timestamps, plate and state, vehicle identity, and every change to the fleet roster. When the invoice arrives, use its travel details and plate image to find the reservation that was active at the time — a late invoice should still point to a stable historical record, not a scramble through old messages. For vehicles the toll account treats as rentals, PA Turnpike lets you record start and end dates and times, but the agency is explicit that the account holder remains responsible for tolls while the vehicle stays listed — remove temporary assignments promptly once a rental period actually ends.

Avoid false urgency and missed urgency alike

Don't bill a guest merely because a plate matches — confirm the actual travel timestamp first. Conversely, don't ignore the invoice just because the associated trip feels old.
