Turo Toll Spreadsheet Template: Track Charges and Deadlines

A practical spreadsheet column structure for matching Turo toll charges to guests, tracking evidence, and monitoring reimbursement deadlines.

A toll spreadsheet can help a small Turo host keep transactions, reservations, evidence, and reimbursement status in one place. The essential design principle is simple: one row per toll transaction, and every charge gets its own status.

Toll transaction columns

Internal transaction ID, toll provider, provider transaction ID, toll-account label, transaction date and time, posting date, location or plaza, base toll amount, other fees, total amount, plate, and transponder.

Reservation match columns

Vehicle, reservation number, guest reference, trip start, trip end, match method, match confidence, reviewer, and review notes.

Recovery columns

Eligibility status, evidence link, reimbursement deadline, billing status, submission date, amount requested, amount paid, dispute status, and resolution notes.

Use controlled statuses and useful formulas

Create a drop-down with consistent values — Unmatched → Needs review → Ready to bill → Submitted → Paid/Disputed/Closed — rather than free-form descriptions like "done" or "check later," which are hard to filter and audit. Add formulas for days remaining before the reimbursement deadline, total ready to bill, total submitted but unpaid, total recovered, total expired or written off, and a duplicate-warning key based on provider, vehicle, time, location, and amount. Conditional formatting can highlight cases nearing the deadline and records missing evidence.

Protect sensitive data

Don't store full account credentials, payment-card numbers, or unnecessary guest information in the sheet. Restrict access, use secure file sharing, and maintain backups — a spreadsheet sent by email can easily escape your control.

When a spreadsheet stops working
