Build a scalable toll workflow for a 10-plus-car Turo fleet, from provider imports and matching to deadlines, billing, disputes, and reporting.
Once a Turo fleet reaches roughly 10 vehicles, toll reconciliation stops being an occasional bookkeeping task. Multiple providers, back-to-back reservations, tag changes, late-posting transactions, and several team members create a continuous operations workflow. The solution isn't merely a larger spreadsheet — it's a controlled process in which every transaction has a source, match, reviewer, deadline, status, and outcome.
Establish authoritative records
Maintain one reliable record for each vehicle/plate/plate-history period, toll-provider account, transponder and assignment history, reservation with exact start and end timestamps, toll transaction with its original provider identifier, and reimbursement case with current status. If a plate or transponder moves, preserve the old effective dates instead of overwriting them.
Reconcile on a schedule
A fleet shouldn't wait for an occasional monthly cleanup — choose a cadence based on provider posting speed and reimbursement risk (weekly is a practical starting point for many active fleets, more often for high-volume accounts). The operating cycle: import new provider activity, detect duplicates, normalize plates/tags/dates/amounts, match transactions to reservation windows, route uncertainty to human review, prepare eligible cases, track submission and payment, and close or explain every exception.
Separate matching from approval, and manage deadlines as a queue
An automated match is a recommendation, not permission to bill — charges near pickup or return, conflicting identifiers, moved transponders, overlapping reservations, and added penalties all need review. Turo currently ties toll reimbursement to a limited period after the trip; track the reservation deadline separately from the toll travel and posting dates, and sort open cases by days remaining, not only by amount.
Measure the workflow
Monitor matched value, ready-to-bill value, submitted value, paid value, unmatched value, disputes, duplicates, expired charges, and median age — don't publish claimed savings unless they come from your own documented data.
