Data, imports, and vehicle/reservation identity

A trained staff member should be able to identify approved source files, preserve originals, interpret new/duplicate/rejected/failed rows, verify date coverage and totals, and protect sensitive data throughout. On identity: understand plates, VINs, listing IDs, and vehicle names as distinct concepts, use historical transponder assignments rather than current-only, recognize overlapping and back-to-back trips, and separate guest use from operational vehicle use.

Toll and ticket review, billing, and disputes

Use the travel or incident time — never the posting or notice date — confirm source evidence, review OCR fields manually, separate base charges from penalties, and escalate conflicting records rather than guessing. On billing: verify current Turo policy and deadline, prevent duplicate case assignment, maintain neutral guest communication, and record submitted/paid/disputed/closed outcomes consistently.

Security, offboarding, and certification

Use individual accounts with least privilege, never share credentials, avoid downloading documents unnecessarily, report suspected exposure or incorrect access, and remove access promptly the moment responsibilities change. For certification, require the trainee to process a sample batch containing duplicates, rejected rows, an ambiguous toll, a moved tag, and a ticket document — and review their accuracy and reasoning, not just their speed.
