Team members, roles, and permissions

Invite teammates and understand what each of the five roles can do.

Last updated

Who can do this: Inviting, changing roles, and removing members requires owner or admin.

The five roles

Owner and Admin can manage organization settings, billing, and team members, and can do everything below. Operator can do the day-to-day work: add/edit vehicles, toll accounts, transponders, and reservations, trigger reconciliation runs, upload and manage documents, and manage reimbursement cases. Reviewer can act on toll matches (confirm/correct/exclude) and edit or approve ticket fields, but cannot manage reimbursement cases or billing — reviewing matches and progressing a billing claim are treated as separate responsibilities. Read only can view everything but change nothing.

Co-ownership

More than one person can hold the Owner role in the same organization — it's a real, supported setup, not a single designated person.

The last owner can't be removed or demoted

An organization must always keep at least one active owner — trying to remove or demote the last one shows an error telling you to promote someone else first.

Steps

  1. 1

    Go to Settings → Members.

  2. 2

Under "Invite a member," enter the person's Email and pick a Role, then select Send invite.

Invites only work for people who already have a Kelviz account — there's no invite email sent automatically, so let them know directly and point them to "Join organization."

  3. 3

The invited person signs in, goes to the join-organization screen, and selects Accept next to your organization.

Expected result

The new member appears in your Members table with their role and status.

Common errors

"This is the organization's last owner — promote someone else first."
Change another member's role to Owner before removing or demoting this one.
